VinTech Nano Materials is a nanotechnology manufacturer of speciality lubricants, chemicals, protective coatings and cutting tools.

Having specialities in lubrication, coatings, cutting tools, paint, grease, trucking grease, energy, transportation, oil, nanoengineering, nanotechnology, and textiles. The patented multi-functional products improve material performance and maximize customer productivity and profit with safe, competitively priced, nano-engineered solutions.

Challenges

  • The major challenge faced by VinTech was planning and executing production orders in order to meet the customers’ requirements efficiently.
  • Some of the items were also processed from sub-contractors, manually maintaining those items with proper stock at different vendors was very challenging and time-consuming.
  • The charges were not incurred on the item cost thereby getting an accurate gross profit report was a tedious activity.
  • An extensive quality control module with various QC approval procedures was a complete miss in the existing system.
  • Integration with the bank for generating outgoing payments in specified XML formats by the bank was a mandate by the treasury department.

Process

We had a detailed discussion for implementing the requirement. An interactive discussion session was held with Process owners for a complete understanding of the current process. A complete To-Be process was drafted and approved by the process owners. Customization required was documented thoroughly with functional and technical specs.

Timeline

A timeline of less than 6 months was specified and strictly followed for the successful implementation of all the business processes. A mock go-live date was targeted 2 months before the actual go-live date thereby rectifying any system glitches if any. This was helpful in the eradication of known system errors before the final go-live.

Solutions and Results

  • A complete packaged solution from procure-to-pay and order-to-cash was implemented along with the RPM’s advanced QC module.
  • QC add-on was amended to fulfil clients specific requirements.
  • RPM’s in-depth Sub-Contracting add-on was a perfect fit for clients vendor subcontracting and customer subcontracting.
  • A separate bank utility was created by which an XML file was auto-generated in bank specified format with respect to the ‘Payment Wizard’ executed in the system.
  • An authorized user only will be able to convert the data into XML which perfectly fit the VinTech treasury teams requirement.
  • 2 third-party add-on were also installed and configured to make the flow of transactions error-free.
  • With the help of the Avatax add-on, the taxes were automatically calculated based on the warehouse location and the Ship-To address.
  • TrueCommerce add-on helped generate sales order directly in SAP from the clients portal.
