About the client
eSmart Energy Solutions Pvt Ltd is a manufacturer of LED street lights and LED panel lights. The company is dedicated to developing technology-based energy-saving lighting products.
eSmart Industries uses the ESCO- Energy Service Companies business model. They lease out their products to various municipal corporations and provide integrated energy services to their consumers. With a strong team of more than 150 professionals, and a capacity to produce up to 2500 lamps/day, the company has a turnover of more than INR 100 Crores.
Challenges
- Being in the manufacturing industry, with a unique scenario of no outright direct consumer sales, their operations involve project-based procurement of raw material from India as well as from outside India.
- The traceability of the finished goods being manufactured and transferred to various project sites and conversion of finished goods into assets when the same is installed and ready for use, the tracing of finished goods at the project site with the track of fulfilment of the project.
- eSmart has stringent requirements for checking quality right from inward supplies through production processes to the final product.
- Need of ERP solution that enables the capture of quality-related data and decisions throughout the flow of materials. eSmart Energy Solutions Ltd currently maintains all its working in excel form.
- The financial controller’s requirement was to backdate and go live as of 1st April 2020.
- While the actual go-live is planned for 1st October 2020, all the backlog transactions from 1st April to 30th September needed to be recorded in SAP B1.
Process
The approach to the challenge was to keep things much simpler and flexible for the end-user with the final product to be delivered. This required multiple rounds of deep discussion with core team members from the clients’ team. It required us to understand the minute details of existing practices and understand the purpose behind it and relate the same with the possibility to implement it in the system.
Timeline
To enable backdated go-live, RPM designed the system to quickly upload 6 months’ transactional data backlog, from 1st April to 30th September 2020, and go-live happened from 1st October 2020.
Solutions
- With a thorough understanding of the requirement, we provided SAP Business One solution with additional features developed with the help of customization and add-ons.
- We defined the process cycle to operate in the purchase, sales and production-related transactions.
- The interbranch material flow from the factory to project offices is handled by the sales-purchase order mechanism. The capitalisation process is used for converting finished goods stock to assets
- RPM SCS (Subcontracting Solution Add-On) – this add-on enabled the client to have a process in place to send the raw material to the subcontractors and receive the finished goods with accurate and utmost traceability of material provided to the subcontractors.
- RPM QCS (Quality Control System Add-On) – this add-on enabled the recording of quality data, results and decisions and with various reports, supplier and process performance can also be measured.
Results
- Real-time transparency and traceability of stocks, at the factory, at project office locations and at the project site.
- Project wise financial statements, with consolidation at the company level.
- Integrated and automated financial transactions including capitalization for fixed assets.
- Quality control data to get more insights into improving supply chain and in-house processes.
