About the client
Belectric Photovoltaic India Private Limited, a subsidiary of Belectric solar and battery GmbH – is a leading provider of solar EPC services in India.
Belectric India is a subsidiary of Belectric-GmbH which is one of the most successful enterprises in the realization of utility-scale solar power plants (300 plants) and energy storage systems
Challenges
- Belectric is an EPC company and hence all activities are project-driven. Maintaining project-wise activities and monitoring project budgets is a critical requirement.
- The company works with two versions of budgets. The Main budget is defined for every project with actual budgeted costs and is specified item wise with parameters of budget category and cost type (categorization/grouping of items/ services).
- At the operational level, an adaptive budget is derived from the main budget at 80% of the main budget costs. The project-wise spend by the procurement department is linked to the adaptive budget.
- In the case of excess spending over adaptive budget, the main budget can be reviewed only at the level of Project Controller and senior management. The software thus has to provide approval processes, linked with the budget.
- Being a project company, there is a need to adopt Revenue Recognition practices.
- Special requirements such as the creation of Payment Release Advice (PRA) on a customized approval process for releasing mile-stone based vendor payments (for advance and invoice payments) as per terms of payment defined.
- Being a subsidiary company, financial data needs to be periodically sent to the Parent company.
Process
The ERP solution needs to support project and budget management features of an EPC line of business, along with standard business processes and financial integration. The solution needs to be user friendly and flexible to capture all the information points essential for project budget control. The solution has to be accessible at any place, any time. Cloud-based SAP Business One fitted well, with user-intuitive interfaces, the flexibility of user-defined fields, business rules, approvals and customized software development for client’s business scenarios and ways to manage and monitor projects.

Solutions
- We understood the client requirements with comprehensive business process discussions. We mapped SAP –B1 available features and wrapped them in a completely customized solution for this requirement.
- A total customized solution has been developed which includes the building of 2 new forms for defining budgets: Actual budget and Adapted budget.
- The budget is defined for each project, item wise with parameters of Budget Category and Cost Type.
- User-level authorisations, for create, update and view have been set for the types of budgets.
- Purchase transactions are linked with the project and budget. Purchase requests are thus linked to project and adaptive budgets and undergo an approval process.
- Purchase Managers can view adaptive budgets and in the same interface, click on PO details to compare the actual purchase done and the allotted budget against an Item.
- A customized PRA transaction with approval procedure has been created for intimating accounts team to release milestone wise payment advice concerning payment terms defined in PO.
