Challenges
- Maintaining Item specifications: Item details like ‘Technical Specifications’ and ‘Optional Accessories’ to be defined at Item master level. This details will be copied to transactions and there can be edited based on the customer requirement. The edited selections will be copied to all further target documents.
- Sales Enquiry: A new internal transaction was required before sending Sales Quotations to customers. This document is named as Sales Enquiry and behaves similarly as Purchase request in the purchase process.
- Quotation Revision: Sales Quotation revision concept was required here. Quotation after sending for confirmation to customer often gets requested for changes in it. The requirement was to keep the original quotation as it is and create a new quotation
by copying all data from the previous quotation to the newer one. - Opportunity Creation and Updation: Considering the humongous amount of transactions posted daily in the system, creating and maintaining opportunity in the system manually was not feasible. Automation for creation and updating of Opportunities was required.
- Follow up: Gandhi Automations being a customer-centric company, maintaining customer data and following up with them is the most crucial part. Pre-sales follow up and quotation confirmation follows up were required here for Pre-sales and Inside sales department respectively.
Timeline
The complete packaged development containing all of the above features was developed, tested and deployed in less than 4 months.

A complete pre-sales module was a requirement from the client, from maintaining campaigns to creation of Sales Order
Solution and Result
- A complete Pre-Sales add-on was developed which accomplished all the challenges of the client.
- Three new forms were created and linked to Item Master data. These forms were used to maintain Technical Specification,
Optional Accessories and Spare Parts against every Finished Goods product. - We have created a customized form for Enquiry transaction which contains all relevant details to be entered while posting
transaction. Customer details, Project details, source, product details need to be entered in this transaction. - We developed functionality in Quotation transaction where user can create revisions of Sales Quotation.


Being a prominent company in the entrance automation and loading bay equipment vertical, we had a complex & variant product structure with large number of daily enquiries and quotations to be created; which was extremely challenging with manual process. RPM Infotech designed and implemented a very seamless and efficient solution with SAP Business One ERP that automated the entire “inside sales” process for entire domestic & exports product range.
